Hotel phones Dubai — hotel phone system supplier with PMS integration, wake-up calls and room phones across UAE hotels

Hotel Phone System Dubai — PMS Integration, Wake-Up Calls & NEC Migration

It is 6:30 AM. Three hundred guests asked for a wake-up call. The NEC system that used to make those calls died with its manufacturer in March.

A missed wake-up call is not an IT fault — it is a one-star review written before breakfast. Hotel telephony lives or dies on moments like this: the wake-up call that arrives in Arabic or English, recorded for your property, the room phone that knows the guest's name at check-in, the minibar charge that posts itself, the voicemail that wipes clean at checkout.

Vector Digital Systems has designed and supported hotel phone systems across the UAE since 2009 — from boutique serviced apartments to full hotels. Yeastar, 3CX, Grandstream, D-Link and Zycoo platforms with real PMS integration, and a migration path for the thousands of UAE hotels now running end-of-life NEC systems — phased by floor, with guests never affected.

HOSPITALITY TELEPHONY  ·  WHY IT'S DIFFERENT

A Hotel Phone System Is Not an Office System With Nicer Phones

An office phone system answers calls. A hotel phone system runs a daily cycle around strangers: it activates a room's phone the moment a guest checks in, wakes them at the right hour in the right language, posts their minibar charges, tells housekeeping which rooms are ready, lets the bill settle itself at checkout — and then wipes every trace of that guest before the next one arrives. In Dubai, hotel phone systems with real PMS integration start from around AED 8,000 for a serviced apartment property.

That cycle has six moving parts, and a system either does all six or it creates daily friction your front desk absorbs by hand. One: the room phone lifecycle — the extension activates, names, and deactivates with the reservation, not with IT. Two: wake-up calls that set themselves from the PMS and escalate to reception when a guest doesn't answer. Three: billing — calls and minibar posted to the room folio automatically, no clipboard at checkout. Four: housekeeping status set from the room phone by dial codes, so reception sees "clean and ready" without radio calls. Five: guest name on every screen, so a call from room 412 is answered "good evening, Mr Al Mansouri." Six: privacy by default — voicemail, call history and the guest's name wiped at checkout.

Buy an office system for a hotel and your staff performs these six tasks manually, forever, at front-desk wages and front-desk error rates. The system we recommend depends on one thing first: how your property actually runs.

THE GUEST DAY  ·  THROUGH YOUR SYSTEM

One Guest, One Day — What the System Does Without Being Asked

3:04 PM — check-in. Reception confirms the reservation in the PMS. In the same second, room 412's phone activates, the extension takes the guest's name, and the display at the front desk shows it. Nobody touched the phone system. Nobody needed to.

6:30 AM — the wake-up call. Scheduled at check-in, made automatically, in Arabic or English — prompts recorded for your property. He answers, hears a clear morning greeting, and the system logs it. In room 508 nobody answers — the call escalates to reception, and a human follows up. No guest ever teaches your hotel that their flight was nearly missed.

9:15 AM — housekeeping. Room 412 is cleaned. The housekeeper picks up the room phone, dials a short code, and the room flips to "clean" on reception's screen. No radio, no paperwork, no "is 412 ready yet?" twenty times a day.

11:40 AM — the minibar. The guest takes two juices. He dials one code on the room phone and it's posted to his folio — or housekeeping posts it during the clean. Either way, the charge is on the bill before he reaches the lobby. The 2 AM checkout argument about who drank what never happens.

4:20 PM — the call to reception. The guest phones the front desk and hears his own name back: "Good evening, Mr Al Mansouri — how can I help?" Not because your receptionist memorised 300 names. Because the system shows the reservation beside the ringing line.

12:05 PM next day — checkout. The folio closes. The room's outbound calls stop, the voicemail wipes, the call history clears, and the extension forgets the guest existed. Room 412 is a clean phone waiting for a stranger. Privacy isn't a policy your staff must remember — it's what the system does by itself.

Every step above runs on the PMS integration and the hotel module doing their jobs. Which platform delivers it best depends on your property — that decision is the next section.

PLATFORMS  ·  BY PROPERTY TYPE

Which System Fits Your Property

Five platforms, five different best-fit answers. We supply and support all of them — so the recommendation follows your property, not our shelf.

Yeastar P-Series & Software Edition — for boutiques, serviced apartments & most UAE hotels.

The standout for this market for one reason: it talks to Oracle OPERA and Micros Fidelio directly — no middleware box between your PMS and the phone system. Guest name syncs at check-in, wake-up calls schedule from the PMS, minibar posts by dial code, housekeeping status updates itself. And for properties with no PMS at all, Yeastar's own embedded hotel module gives you the room panel, housekeeping, call accounting and guest history — hotel features without hotel-software budget. Add auto-provisioning for 400+ phone models and your existing room phones usually stay. For the largest properties, the Software Edition removes the hardware ceiling entirely — the P-Series appliance tops out at its rated capacity, while the Software Edition scales by licence as far as the property grows.

Yeastar Hotel Quote

3CX — for mid-size hotels that want the full modern suite.

The 3CX Hotel Module automates the whole check-in/out cycle — voicemail wiped, outbound cleared, extension re-provisioned for the next guest. Wake-up calls can be guest-set through the wake-up IVR, with wake-up prompts recorded in Arabic and English for your property — a detail every international chain cares about and nobody else mentions. Maid codes handle room status, billing runs from configurable call records, and existing analog room phones stay in service through gateways. Software-based, so it also runs your reception, your back office, and your reservation line on one platform.

3CX Hotel Quote

Grandstream UCM — for full hotels that want zero licence fees.

The UCM integrates directly with Oracle Hospitality OPERA, plus its built-in HSC and HMobile hotel modules cover check-in/out, room status, room moves, wake-up calls with answer-status tracking, minibar with maid codes, and do-not-disturb — all without middleware. Call billing with carrier rates and least-cost routing handles guest call charging natively. Pair it with Grandstream's own GHP hotel room phones — swappable faceplates carrying your hotel's logo, wall-mountable, WiFi variants for rooms where cabling is the battle. One purchase, no per-room licences, ever.

Grandstream Hotel Quote

D-Link DVX9000E — for legacy towers full of analog room phones.

The specialist answer to an expensive problem: a 300-room property where every room phone is analog and rewiring is unthinkable. The DVX9000E scales to 960 analog extensions through its channel bank — Hotel PMS integration, wake-up calls, room status, voicemail cleanup and minibar included — so the system gets replaced while the room phones and wiring stay exactly where they are. A legacy platform, honestly stated: we recommend it only where analog density makes it the right answer, and we source and support it.

D-Link Hotel Quote

Zycoo — for budget properties watching every dirham.

CooVox units cover 30 to 500 users with auto-attendant, recording and a hotel module — a clean fit for small hotels, guest houses and serviced apartments where the requirement is solid hospitality features at the sharpest entry price. The honest trade: fewer frills, lower cost, same fundamentals done properly.

Zycoo Hotel Quote

Not sure which one? That's the survey's job.

Send us your room count, your current system (if any), and whether you run a PMS. We reply with the platform we'd install and why — in writing, before any pricing, with the honest trade-offs of each alternative. The recommendation is free; the wrong platform is not.

PMS INTEGRATION  ·  THE TECHNICAL PICTURE

How the Phone System Talks to Your PMS

Every hotel phone feature that matters is really one feature: the phone system and the Property Management System speaking the same language. Here's what actually syncs when they do:

What syncsWhat it means at the front desk
Guest name & reservationAt check-in the room extension takes the guest's name; reception's display shows it on every call. Room moves update automatically.
Wake-up callsScheduled from the PMS or set by the guest via IVR — in Arabic or English, recorded for your property. Unanswered calls escalate to reception with a log.
Room & housekeeping statusMaids set clean/dirty/inspected by dial codes from the room phone. Reception sees readiness live — no radio calls.
Minibar & call billingCharges post to the room folio by dial code or automatically. Checkout becomes reconciliation, not investigation.
Do-not-disturb & permissionsDND syncs to the room phone. Outbound calling is enabled, restricted or barred per reservation class — no manual control.
Checkout & privacyVoicemail wiped, call history cleared, extension reset for the next guest. Automatic, every time.

Three ways the connection gets made. The cleanest is direct: Yeastar speaks FIAS natively to Oracle OPERA and Micros Fidelio, and Grandstream's UCM integrates directly with OPERA — no middleware server to buy or babysit. The second path is a protocol bridge: 3CX connects via the Fidelio/Mitel-style protocol, which covers Protel, roomMaster, Brilliant and similar PMS platforms. The third, for PMS platforms outside those families, is middleware like HMobile Connect, which translates between the phone system and nearly anything with an API.

And if your property has no PMS at all — common for serviced apartments and boutiques — you don't buy one to get these features. Yeastar's embedded hotel module is a built-in property system of its own: room panel, housekeeping, call accounting, guest histories. Hotel-grade operations on apartment-grade budgets.

NEC END OF SERVICE  ·  THE MIGRATION PATH

Your NEC Died in March. Your Guests Never Need to Know.

NEC's on-premise systems reached end of service on 31 March 2026. Across the UAE, thousands of hotels still run NEC — the wake-up calls, room status lines and PMS links those properties depend on are now running on a platform with no manufacturer behind it. It works today. The question every GM should be asking isn't whether it fails, but what happens on the day it does — a dead system at 6:30 AM, with a full house, and no support line to call.

A hotel migration is not an office migration. Guests are sleeping in the building while you work. So we do it the way hotels need it done: phased by floor, never by shutdown. The new system — Yeastar, 3CX or Grandstream — is installed and tested alongside the old one first. Your PMS link is rebuilt and verified before a single room moves. Then rooms migrate floor by floor: one floor per night if needed, each floor tested before the next begins. Room phones are reused wherever possible — and where rooms have no network cable at all, WiFi room phones let the property jump straight to IP without rewiring a single room. Numbers stay. The wake-up calls keep arriving every morning of the migration — guests experience nothing except, one day, a better system.

And the things that made your NEC valuable aren't lost, they're upgraded: the wake-up calls now escalate with answer-status tracking, the room status updates live, the minibar posts itself, and voicemail wipes itself at checkout. The features you had are replaced; the features NEC never shipped are finally available.

The alternative to planning this is waiting for the failure. NEC parts are already scarce and getting scarcer. A failed card in a dead platform doesn't mean a repair quote — it means a full-house emergency with no wake-up calls. Planned migration on a calm Tuesday beats emergency replacement on a full-booked Friday, every single time.

ROOM PHONES  ·  HARDWARE

The Phones Your Guests Actually Touch

A room phone has one job: work instantly for a stranger who has never seen it before, three hundred days a year, without instructions. Four families of phones do that job — plus two ways to avoid replacing a single one.

Hotel phone supplier Dubai — hospitality room phones and hotel phone systems supplied across the UAE
Room phones and hotel systems from Dubai stock — supplied, configured and supported by one team.

Grandstream GHP Series — the modern IP room phone.

Our default for new rooms: compact, wipe-clean, one-touch keys for reception, housekeeping and emergency, wall-mountable for bathrooms and corridors. The detail hotels love — swappable faceplates carrying your hotel's own logo. WiFi variants (GHP610W/611W) for rooms with no network point, colour-screen GHP620/621 for suites and executive floors.

Fanvil Hospitality Series — colour-display rooms & the bathroom IP phone.

The H3 and H5 bring colour displays and guest-service speed dials with a modern look that suits renovated properties. And the Fanvil H2U — a compact PoE IP phone purpose-built for hotel bathrooms: wall-mounted, moisture-tolerant, emergency speed dial, a favourite of UAE properties upgrading bathroom handsets.

Bittel — the world standard for analog hotel phones.

The world's leading hospitality phone maker — the analog room phone found in hotels on every continent. Single and two-line models with up to 10 programmable guest-service keys, customisable hotel-logo faceplates, PrivacyGuard that auto-erases the last dialled number, and the Polaris bathroom phone — waterproof hook switch, wall-mount, made for wet rooms. Compatible with every PBX family ever installed, including NEC and Panasonic.

Cetis — Teledex, TeleMatrix & Scitec. DUBAI WAREHOUSE

30+ million hotel phones installed worldwide, with stock held right here in Dubai. Teledex for four and five-star properties, TeleMatrix for midscale, Scitec for economy. The reference that settles most GMs: when Taj Dubai opened, it put 1,200 TeleMatrix phones in its rooms.

D-Link — guest & office phones from the same shelf.

For properties standardising on D-Link for the system, matching D-Link guest and office phones keep supply and support to one brand and one call. A clean fit for serviced apartments and budget hotels watching simplicity as much as price.

WiFi Phones in Rooms — zero cabling, days not weeks.

The deployment shortcut changing how hotels upgrade: room phones that join WiFi instead of needing a network point per room. No cabling crew per floor, no rooms out of service for wiring, deployment measured in days instead of weeks. And the migration answer for older towers: hotels wired for analog rooms can jump straight to modern IP phones — without rewiring a single room.

More on WiFi Phones

Keep Your Existing Analog Phones — the cheapest migration.

Analog hotel phones cost a fraction of IP phones, and the 300 already bolted to your walls work fine. The trick that keeps them: an FXS gateway — a small box that gives your new IP system analog ports. Room phones plug into the gateway, the gateway joins the modern IP PBX over the network, and your old phones keep working on the new system. Migration cost drops by the price of 300 new phones.

The deployment math that decides most projects. 300 rooms: replacing every phone with new IP units means 300 phones, 300 network points, and weeks of floor closures. Keeping the analog fleet through FXS gateways, or going WiFi room by room, cuts that to the system, the gateways or phones you actually need — and rooms never leave inventory. We price both paths side by side in every hotel quote.

SERVICED APARTMENTS  ·  DUBAI'S QUIET SEGMENT

Hotel Features on an Apartment Budget

Dubai runs thousands of serviced apartments, hotel apartments and boutique guest houses — properties that operate like hotels but rarely carry hotel software budgets. Most run on plain office phone setups, and the gap shows daily: no wake-up calls, no room billing, reception scribbling statuses in a register.

This is exactly the gap the embedded hotel module was built for. A Yeastar P-Series or 3CX system gives a 20–80 unit property the full guest cycle — check-in activation, wake-up calls, room status, minibar posting, checkout privacy wipe — without buying a separate PMS. Enterprise hospitality features at apartment-property pricing, from around AED 8,000 for a complete setup.

If your property has 15 rooms or 150, the arithmetic is the same: one system, one invoice, guests who notice nothing except that everything works.

HOTEL PHONE SYSTEM PRICE  ·  DUBAI

What a Hotel Phone System Costs in Dubai

Every property prices differently — room count, PMS integration, how many analog phones stay — but the bands below are real, itemised and what we quote against.

PropertyTypical scopeTypical price
Serviced apartment / guest house (up to 30 units)System with embedded hotel module, reception console, room phones as neededfrom AED 8,000
Boutique hotel (30–80 rooms)Platform with PMS integration, room phones or analog reuse, wake-up and billing setupAED 15,000 – 40,000
Full hotel (100+ rooms)Full PMS integration, phased deployment, hotel phones or gateway reuse, trainingfrom AED 40,000
NEC migration (any size)Parallel install, PMS rebuild, floor-by-floor migration, zero guest impactitemised after site survey

The math that usually settles the decision: at 100 rooms, a full hotel system runs roughly AED 400 per room — less than one corporate booking lost to a "couldn't reach reception" review. And against the manual alternative: the six tasks in the guest-day cycle, done by hand at front-desk wages, every day, forever.

Every quote is itemised — platform, phones, gateways, integration, installation, training — and the price on the quote is the price on the invoice.

HOTEL PHONE SYSTEM DUBAI  ·  QUESTIONS

Hotel Phone Systems in Dubai — Your Questions Answered

Which PABX brand is best for hotels in Dubai?

For most UAE hotels, Yeastar P-Series (or the Software Edition for larger properties that outgrow the appliance's capacity) — it integrates directly with Oracle OPERA and Micros Fidelio without middleware, and includes its own embedded hotel module for properties with no PMS. For full hotels wanting zero licence fees, Grandstream UCM with OPERA integration and GHP room phones. For mid-size properties wanting the full modern suite, 3CX's Hotel Module with Arabic wake-up prompts. For legacy towers full of analog room phones, D-Link DVX9000E. The right answer depends on your property — the free survey settles it in writing.

Can a hotel phone system integrate with our PMS?

Yes — directly in most cases. Yeastar connects natively to Oracle OPERA and Micros Fidelio (FIAS protocol) without middleware, and Grandstream UCM integrates directly with OPERA. 3CX bridges via the Fidelio/Mitel-style protocol covering Protel, roomMaster, Brilliant and similar platforms, and middleware like HMobile Connect handles PMS platforms outside those families. Guest name sync, wake-up scheduling, room status, minibar posting and checkout privacy wipe all run through the integration.

How do wake-up calls work on a modern hotel system?

Automatically. They are scheduled from the PMS at check-in or set by the guest through a wake-up IVR, delivered at the exact minute in Arabic or English, and logged with answer status — an unanswered call escalates to reception for human follow-up. Prompts are recorded in Arabic and English for your property.

Our hotel runs an NEC system — what happens now that NEC has ended service?

NEC's on-premise systems reached end of service on 31 March 2026, which means no manufacturer support, updates or parts pipeline behind your wake-up calls and PMS link. We migrate hotels off NEC with zero guest impact: the new system is installed and verified in parallel, the PMS integration rebuilt first, then rooms move floor by floor — numbers kept, room phones reused where possible, and wake-up calls arriving every morning of the migration.

Can we keep our existing analog room phones?

Usually, yes. Analog room phones stay in service through FXS gateways — small boxes that give the IP system analog ports, so existing phones join the modern platform — and systems like Yeastar auto-provision over 400 phone models. For towers where every room is analog, the D-Link DVX9000E scales to 960 analog extensions through its channel bank — the system gets replaced while room phones and wiring stay exactly where they are.

What phones go in guest rooms?

Grandstream GHP series is our default for new rooms — compact, wipe-clean, one-touch service keys, wall-mountable, with swappable faceplates carrying your hotel's logo and WiFi variants for rooms where cabling is difficult. Fanvil's hospitality series (H3, H5) offers colour displays with guest-service speed dials. Existing analog phones are usually retained through gateways.

We have no PMS — can we still get hotel features?

Yes. Yeastar's embedded hotel module is a built-in property system: room panel, housekeeping status, call accounting and guest histories without any separate PMS purchase. It is how serviced apartments and boutique properties run wake-up calls, room billing and housekeeping codes on an apartment budget — complete setups from around AED 8,000.

How much does a hotel phone system cost in Dubai?

Serviced apartments and guest houses start from around AED 8,000, boutique hotels of 30–80 rooms typically run AED 15,000–40,000, and full hotels of 100+ rooms from AED 40,000 — roughly AED 400 per room at that scale. NEC migrations are itemised after a site survey. Every quote is itemised, and the price on the quote is the price on the invoice.

Can hotel room phones work on WiFi without cabling?

Yes — WiFi room phones (such as Grandstream's GHP610W/611W and business WiFi phones) join the property's wireless network instead of needing a network point per room, so no cabling crew per floor and deployment measured in days. They are also the migration shortcut for older hotels wired for analog rooms: the property moves to modern IP telephony without rewiring a single room. Voice quality depends on stable coverage, so a WiFi readiness survey comes first.

Does the system integrate with Oracle OPERA PMS?

Yes, directly. Yeastar P-Series connects to Oracle Hospitality OPERA natively through the FIAS protocol with no middleware server, and Grandstream UCM added direct OPERA integration in its 2025 firmware — guest name sync at check-in, wake-up scheduling from the PMS, room status, minibar posting and checkout privacy wipe all run through the link. 3CX connects to OPERA via its Fidelio-style protocol bridge.

Can guests use their own mobile phones instead of the room phone?

Yes, through the system's mobile apps — staff and managers especially. But the room phone stays for three reasons: guests shouldn't need to download anything to reach reception, emergency calling must work with zero setup, and checkout privacy (number erasure, no call history on a guest's personal device) is automatic on room hardware. The industry trend is mobile-first for staff, room phone for guests.

What happens to hotel phones if the power or internet fails?

Life-safety calling is designed to keep working. On-premise systems can keep room-to-reception and emergency calls alive through UPS-backed equipment and PSTN or GSM failover trunks, and reception calls can route to mobiles on 4G/5G automatically. Hotels carry a duty of care to guests, so we design the failover in during installation — never after an incident.

What is a hotel PBX (hotel PABX) system?

A hotel PBX is a private telephone exchange built around the guest cycle rather than the office desk: it activates a room's phone at check-in, delivers wake-up calls, posts minibar and call charges to the room folio, lets housekeeping set room status by dial codes, and wipes the guest's voicemail and call history at checkout — all synchronised with the property's PMS. In Dubai, hotel phone systems with real PMS integration start from around AED 8,000 for serviced apartments.
