3CX License Renewal in Dubai — Renewed Today, Sized Right Before You Pay
The renewal notice arrived weeks ago and the date is suddenly close. Or it has already passed — and this morning the phones behaved strangely: one call at a time, queues silent, the mobile app quiet. What you need right now is someone who reads this licensing maze daily, can tell you whether the key is still recoverable, what that notice on the console actually means, and can size the renewal correctly before anything is charged — the same working day.

The morning after an annual license lapses looks normal for about a minute. Then the reception phone takes one call, and the second caller hears nothing. That is the first layer: an expired 3CX system processes exactly one simultaneous call, whatever size the key was the day before.
The other layers follow through the day. The busy-lamp fields on desk phones stop registering, so nobody can see who is on a call. The mobile and web apps stop receiving push, so calls ring only on desks — staff working from anywhere else go quiet without knowing it. Call queues stop distributing. Recordings stop. Transcriptions, web meetings, call scripts and data connectors switch off. Even the system's own email alerts stop sending — the machine cannot tell you what is wrong.
There is no grace period on an annual subscription. The date on the key is the date it stops. 3CX does warn — renewal notices go out 30, 15 and 1 day before expiry — but those emails are easy to ignore right up until the morning they were about. Administrators who remember expiry behaving differently — a reduced key, phones still working — are remembering older versions. Current V20 systems behave as described above, and 3CX states that the data of an expired system is eventually deleted on their side.
An expired system is not gone — it is held. What happens next depends on one number: how many days have passed since the expiry date. That number is covered next.
Expired already? The key survives 30 days. Then 3CX deletes it.
The expiry date passed. The system dropped. The question now is whether the key can still be saved — and it can, if fewer than thirty days have passed. 3CX retains an expired license key for 30 days. Inside that window, renewal reactivates the same key — settings, extensions and call flow untouched — normally within the same working day. The phones come back as they were.
After 30 days the key is deleted at 3CX's side, and the path changes: a new license, and the system restored from its backup onto the new key. That is routine work when a backup exists — and 3CX systems keep scheduled backups by default — but it is a project measured in hours rather than minutes, which is exactly why the 30-day line matters.
We tell you which side of that line you are on before anything is quoted — from nothing more than the key details on WhatsApp. If the window is still open, the renewal goes through the same day. If it has closed, you get the honest picture of the rebuild, in writing, before deciding anything.
One more reality of 2026 renewals: many of the keys expiring this year sit on systems still running version 18. For those, the renewal and the move to the current V20 platform are one conversation, not two — and the order matters. A full backup is taken first, the key is renewed or reactivated, and the version move is staged after working hours, so the office never loses a day of calls. Renewing a V18 key without planning the version path only resets the clock; handling both together is how an older system comes back current, licensed and supported in a single pass.

Since Update 9, some administrators log in to a message they have not seen before: the system exceeds the extension allowance for its license. It reads like a fault. It is arithmetic. Every 3CX license now carries a maximum extension count tied to its SC size — 5 extensions per SC on licenses up to 128SC, and 8 per SC from 256SC upward. System extensions and mailboxes are not counted.

A 16SC office running 120 extensions is 40 over the allowance. The compliant sizes are 24SC — or a cleanup, which is often the honest first step: leavers' accounts, test extensions and forgotten desk phones all count against the allowance until they are deleted. On 3CX's own figures, roughly 15% of licenses sit beyond their allowance, so the notice is common — it is not a fault in your setup.
The notice is informational today. 3CX has announced enforcement from Q4 2026, with systems renewed before 22 October 2025 given until 22 October 2026 to bring extension counts in line. The clean moment to deal with it is the renewal date — which is the next section.
Renewal is the one moment the size can change. Get it right once.
You are about to pay for another year. Once the renewal goes through, the SC size cannot come back down — 3CX licenses upgrade at any time but never reduce. That makes the renewal date the one clean moment to look at the real numbers before the payment locks them in. Three checks, before any payment: the peak simultaneous calls the office actually reaches against the SC size, the extension count against the allowance above, and whether the edition still fits the way the system is used — the 3CX AI Receptionist, for example, requires AI Edition and is a natural trigger for an upgrade at renewal.
If your key still says Enterprise or ENT+, nothing is wrong — 3CX renamed its editions in 2026 to Basic, Pro and AI, and existing keys map across at renewal. Larger estates gained room in the same change: two new sizes, 384SC and 768SC, now sit between the old steps, so a growing system no longer has to leap a full tier for headroom. Multi-year renewal locks the rate for the term.
For 16SC and larger keys, 3CX is running upgrade and multi-year renewal discounts until 30 September 2026 — timed to the extension-limit alignment window. Where your key qualifies, the discount is applied to your renewal without asking.
Schools and colleges are a separate case. 3CX runs education-specific pricing, and education deployments get distinct handling on both discounts and extension-limit alignment — a renewal from a Dubai school or college is sized on that basis from the first message.
